
How to Request Use of School Facilities
Step 1: Register and Request Space
Create an account using the registration link: Register for an account
Upload proof of current liability insurance during the registration process.
Wait for account approval. Once approved, you may request:
Location
Room
Date
Time

Step 2: Submit Your Deposit
Send your deposit check by mail or in person to:

Fees and Additional Costs
Facility rental fees are charged hourly and are listed in the Facilities Use Fee Schedule, which can be found in the Regulation and Board Policy.
Additional fees may apply if your group:
Uses a facility outside normal school hours
A district custodian is required to open and close the building. Large events also require a custodian to be present during the event. These costs are paid by the requesting group.Uses a school kitchen
A district Food Service employee must be on duty for any kitchen use. This cost is paid by the requesting group.Uses district technology
This includes audio/visual equipment or auditorium sound and lighting.
Hourly rates for these services are listed at the bottom of the Facilities Use Fees document.
Site Monitor Requirement
Community group events require a Ray-Pec staff member to serve as a site monitor.
If your group knows a Ray-Pec staff member, they may volunteer.
If no volunteer is available, the district will assign a monitor, and the cost will be billed to the requesting group.

Step 3: Confirmation & Billing
The District Facilities and Support Services Office will:
Confirm space availability with the building administrator
Send billing information to your group
Requests are approved on a first-come, first-served basis.
*Please note that rescheduled district events will take precedence over previously approved outside group events, and facilities will generally be unavailable on days that school is cancelled due to inclement weather.
